How to Book a Room

Booking rooms in Cory and Soda Halls via a bCal room resource calendar is a three step process:

  1. View room availability in the tables below to find a room that meets your needs.  At the google login screen, log in with your full @berkeley.edu email address, click Next, then supply your CalNet passphrase.
  2. Create an event on your own calendar:
    • Log into bCal.berkeley.edu
    • On your own calendar, begin to create an event as you normally would
    • Click “Edit event”
    • On the right side of the window, click the “Rooms, etc.” link under Add.
    • Type in “Cory” or “Soda” to limit it to one building.  Be sure that the “Show only available” box is checked!
    • Click “Add” next to the room you want.
    • Configure the rest of your event settings. We recommend that you do not invite your guests until after your event has been confirmed by the room scheduler. Click “Save.”
  3. Receive meeting confirmation within 1 business day. THE BOOKING WILL NOT BE COMPLETE UNTIL YOU RECEIVE EMAIL FROM THE ROOM SCHEDULER APPROVING YOUR EVENT.

Important

  • Please submit requests at least four days in advance to guarantee that reservations are approved on time. For weekend reservations, please submit your request by Friday at the latest. Reservations are only approved during business hours (M-F, 8 am-4:30 pm).
  • Only the following subset of EECS-affiliated student groups may book rooms in Cory and Soda Halls.
  • If your group is on the list, you may check availability by signing in with your @berkeley.edu email address and then your CalNet credentials
  • Book a room by creating an event on your own calendar–do not try to book them on the “check availability” calendars.  Follow the instructions in the How To column on the right.
  • All events must include a name and description.  Include the following information under the description box of your event:
    • Event description
    • EECS affiliation (i.e. course, organization, etc.)
    • Number of participants
    • Speaker list and affiliation (if applicable).

Failure to include this information in your reservation will result in delays/cancellation.

  • The room schedulers reserve the right to cancel or move any confirmed booking if the room is urgently needed for an important academic or department function.
  • Please read the room restrictions and guidelines before booking rooms.

View or Subscribe to Room Calendars Directly on bCal

When viewing calendars via the “Check Availability” links in the rooms tables, they will occasionally appear blank due to an intermittent problem with bCal.  If that happens, use this method to view the room’s calendar directly from bCal:

  1. Open your personal bCal calendar.
  2. In the left column, click the arrow to the RIGHT of “Other calendars”.
  3. Select “Browse Interesting Calendars”.
  4. Select the “More” tab.
  5. Select  “Resources for berkeley.edu”
  6. Scroll down to find the building you want and select it.
  7. You can either choose Preview to just get a quick look at the calendar, or Subscribe.  If you subscribe, it will be added to your list of Other calendars and you’ll be able to look at it any time you want.
